8K a year 8 days ago 8 days ago 8 days ago The Administrative Assistant plays a key role in supporting the mission of the Institute for Prevention and Recovery and provides assistance to the SVP and VP of IFPR by handling a wide range of executive support and administrative tasks.
She/he/they will also provide support in ensuring the smooth operations of the leadership team and the division.
The Administrative Assistant will perform highly diverse administrative and project-focused duties, which by nature of the position may involve contact with key stakeholders and exposure to confidential material necessitating the use of tact, diplomacy, discretion, and judgment.
She/he/they must have proven skills in supporting multiple leaders, prioritizing and multi-tasking, as well as the ability to remain poised and focused in a fast-paced environment.
This role will be hybrid using a combination of in-office and remote work status based on need and schedules.
EDUCATION/ REQUIREMENTS High school diploma or general education degree (GED) required.
Associate's degree in Business Administration or related field strongly preferred.
Minimum of five years advanced administrative assistant experience supporting senior leaders/executives in areas noted above is required.
Able to act with speed, flexibility and accountability to achieve goals is required.
Must understand how own work impacts IFPR and RWJBH as a whole and use that understanding to make effective decisions and act where needed.
Expected to execute on the different priorities to deliver timely results.
The ability to take accountability for maintaining supervisor s schedule, remain flexible and respond with a sense of urgency and use good judgment when faced with changing priorities is required.
Demonstrated ability to anticipate key stakeholder needs without direct instruction and ability to be proactive in addressing them is required.
Ability to work accurately, independently, take initiative and handle many conflicting priorities in an a continuously changing environment is required Must possess a high degree of attention to detail; be well organized and adaptable and use creativity in problem solving.
The ability to remain professional in all situations is required.
Must be highly proficient computer skills, including Microsoft Office specially Word, Excel, and PowerPoint.
Strong verbal and written communication skills required.
